Welcome to Rosie

Your app for everyday work

Rosie is your digital app for everyday work: view your plan, enter wishes, complete tasks per shift, report sick, request holidays, chat with colleagues, submit improvement ideas — all in sync across every device. You can install Rosie as an app on your smartphone or use it in the browser.

Login & privacy

First-time access and self-service password

On your first visit you accept the privacy gate (nDSG/GDPR) and sign in with your email and password. You can pick the language (DE/FR/IT/EN) right in the sign-in window. You can change your password yourself anytime under “My profile → Change password”. Forgot it? On the sign-in page, the “Forgot password?” link opens a form — you get an email whose link is valid for 60 minutes. No admin needed.

Read the privacy notice
On your first visit the privacy gate appears once. Read briefly what is stored and what isn’t — and confirm by clicking the checkbox.
Enter your email and password
Log in with the email address from your invitation. On your first login you’ll be asked to set your own password.
Change your password yourself
My profile (user icon at the top right or More → My profile) → “Change password” section. No admin needed. Afterwards, for security, you are signed out on all devices and sign in again with the new password.

Forgot your password?On the sign-in page click “Forgot password?”, enter your email address and open the link from the email — it is valid for 60 minutes. If it has expired, request a new one right there with “Request a new link”. For security reasons you always get the same confirmation, whether or not the address is on file. If no email arrives, your admin can help.

Stay signed inIf you reload the page or briefly close the tab, you stay signed in. After 30 minutes without input, Rosie signs you out for security reasons; the sign-in window then states the reason. A brief network outage does not sign you out.

Bottom bar on your phone, tabs on a computer — where to find what

On your phone, the bottom bar leads to Plan · My Day · Wishes · Absences · Messages · More; a label that is too long wraps onto a second line. Under More you’ll find My profile, the ICS calendar subscription, team contacts, “Idea & feedback”, appearance (color mode Automatic by sunrise and sunset/Light/Rosé/Dark, view Automatic/Mobile/Desktop) as well as language, help, voice command and log out. On a computer the tabs are called Shifts · Tasks · Wishes · Absences · Team · Messages · Ideas; language, color mode, help, your profile, log out and the bell 🔔 are at the top right. Areas your organization has hidden for you don’t appear.

The 🔔 bell is your notification inbox (badge ≤9 or “9+”). Help opens this manual at the section for the tab you are in. You reach My profile via the user icon at the top right or under More → My profile.

My plan

Today, week, month and Team Plan — swap your own shift or change its time

In the Plan tab, the Today card at the top shows your shift for today and the time until it starts or ends. Below it you choose the view:

Team PlanYour team’s monthly plan, with your next three days at the top. Small profile photos or initials appear in front of the names; colleagues’ absences only show as “Absent”. You save the whole month as JPG or PDF (in colour as in the app).

Approved holidays and absences show up as such in your plan, not as “off”. If a month can’t be loaded, Rosie shows “Retry” instead of an empty plan. When you tap one of your own shifts, Swap shift and Request time change open (see “Change shift time & swap shifts”). ICS only exports your own shifts to Google Calendar, Outlook or Apple Calendar. If a month is not yet published for your team, tap one of your own days to enter a shift wish right there.

What do the abbreviations mean?

Shift types, codes and colors are company-specific — the admin defines them under “Shifts”. Common examples from everyday care work:

Tap your own shift — swap or change the time
Tap one of your own shifts
In the Today card, in “My Week”, in “Full month” or in the Team Plan. On a computer, click your shift in the plan.
“Swap shift” or “Request time change”
Swapping only works for shifts from today onwards in a published month. For a time change you enter the start, end and a reason.
Submit the request
You get a notification with the result. You can see the status in the “Plan” tab under “My Requests”.

The graphic with a sun and a moon shows your day chronologically in “My Day” (see “My tasks”). It updates live (a tick every minute) and you can switch between days.

Not yet publishedShifts in a month that is not yet published for your team are provisional and marked with a dashed line: “not yet published — changes possible”. They can only be swapped after publication. As soon as the month is published, you see your area next to your shift (e.g. House A, Ward 2).

Wishes and holidays

Wish with priority, holidays, unpaid leave, shift swap

In the Wishes tab you enter shift and off wishes with priority 1–3 — on your phone in the wish calendar: tap a day or “Log a new wish”. Your admin has given you an allowance per area and priority; the display shows how much of it is still free. Wishes can no longer be entered for past days. You request holidays with a from/to date and an optional note; status: submitted / approved / rejected. You can withdraw a submitted holiday request yourself; approved holidays can only be deleted by scheduling. Approvals often come directly by push — one click and you land in the right area.

Enter a wish — step by step
Open the “Wishes” tab
On your phone you see the wish calendar with your shifts, wishes, holidays and the public holidays.
Choose a day and wish type
Tap a day or “Log a new wish” and choose whether you enter a shift wish (I’d like to work) or an off wish (I’d like time off). Past days are locked.
Set the priority (1–3)
1 = high, 2 = medium, 3 = low. Prio 1 is weighted most strongly by the AI.
Optional note
E.g. “Doctor’s appointment” or “Childcare” — helps the planner.
Save and check remaining allowance
On your phone, the display above the calendar shows your remaining allowance per priority; on a computer, a bar below the form (red when over 80% used, amber over 50%).
Request holidays
On a computer “Request holidays”, on your phone in the day window “Vacation from here” → from/to date, optional note. The admin is notified by push and can often approve directly from the push.
Request unpaid leave
Card “Request unpaid leave” → from/to date, optional reason. As with holidays, the admin decides; once approved, the unpaid leave appears in the plan automatically. You can withdraw a request that is still open there. If a request is rejected, the reason is shown; if it is not decided in time, it expires automatically — you see that there too.
Request a shift swap
Card “Shift swap” → “Request shift swap”: shows your incoming and outgoing swap requests and the button to swap a shift. Only shifts from today onwards in published months can be swapped.

What is my wish allowance?The admin sets per area how many wishes you may enter per priority (e.g. 3× prio 1, 5× prio 2). Once it’s used up, Rosie shows you your wishes of the same priority in the counted period: if you delete one of them, your new wish is entered straight away — otherwise you cancel.

Dashed vs. solidDashed entries in the calendar are wishes. Solid, filled entries are definitively planned shifts.

Who sees my wishes?Your organization decides. If colleagues can see who requested which day, a note says so below the wish calendar.

My tasks

Tasks per shift, status, documents and attachments

In the My Day tab (on a computer “Tasks”) you see the tasks of your current shift — chronologically — in a shift-flow graphic (sun/moon, live tick every minute). Change status by tapping: ▶ Start · ✓ Done · ↩ Return (with a reason). New tasks blink briefly. In the task detail you find the history with messages and attachments as well as linked QMS documents (PDF/DOCX). You get a push notification when a new task is assigned to you.

The four statuses

Linked QMS documents

In the task detail, chips appear for linked QMS documents. Clicking opens a PDF inline or a DOCX directly in the browser (via mammoth.js) — no download needed. You can only pick documents you are allowed to read yourself; a linked document can be removed by the person who assigned the task, by scheduling and by the admin.

Attach a photo or PDF

In a task’s history, use Attach photo/PDF to attach a photo — on your phone straight from the camera or from the gallery — or a PDF. A file may be at most 3 MB; the app shrinks large photos. A task holds at most 10 attachments. Everyone who can see the task’s history can see the attachment; it can be removed by the person who uploaded it, by the person who assigned the task and by the admin. If the task is deleted, its attachments disappear too.

Absences: sickness, accident, blocked dates

Report in the “Absences” tab — no reason needed

The Absences tab has three sections: Sickness/accident, Blocked dates and Maternity. Every role has this tab — admins and planners report themselves sick here too. For sickness/accident there are four types: 🤒 Sick acute · 🏥 Sick long-term (from 15 days) · 🩹 Accident acute · 🚑 Accident long-term. You don’t have to give a reason — the employer may not ask for the diagnosis, the medical certificate is sufficient (Art. 328b CO, nDSG). The report goes to the responsible people for approval; once approved, the days appear as an absence in the plan and are locked for AI planning. For “acute”, your planned shifts from the start date to the end date are cancelled once approved.

Open the “Absences” tab

Choose the type
Pick one of the four types (acute/long-term, sick/accident).
Enter the from and to date
Applies to all four types; for a single day the to date stays equal to the from date. If the report covers an unusual number of days, Rosie asks whether the end date is correct.
Optional: medical certificate
Attach the medical certificate as a photo or PDF (at most 3 MB; the app shrinks photos) — the admin can open and download it. You do not have to name the affected shift: scheduling works out the day and shift from the roster itself. There is deliberately no field for a reason.
Tap “Report”
The responsible people are notified — on the lock screen without your name and without the type of absence. You see the status under “My reports”.
Withdraw an absence

Under My reports you see every report with its status (pending, approved, rejected with reason, withdrawn). You can withdraw a pending report at any time. You can only withdraw an approved sickness or accident report if you reported it yourself; if scheduling recorded it, it says “Recorded by scheduling”. When you withdraw, the absence is removed from the plan; the shifts that were replaced on approval don’t come back — scheduling re-plans those days and is notified. If the report has already started, Rosie asks you to confirm: only withdraw it if it was a mistake. Recovered earlier? Contact scheduling — they shorten the report and your sick days stay credited. If the month is already closed, only scheduling can still withdraw it.

Add the medical certificate later

If the medical certificate is still missing, add it to a pending or approved report under “My reports” with Add certificate (photo or PDF, at most 3 MB). The approvers are notified. A certificate that is already on file can only be replaced by the administration.

Blocked dates and maternity

Under Blocked dates you request days on which you don’t want to be scheduled — type leave, private appointment, training or other, reason optional. “My blocked dates” shows the status; you can withdraw pending requests yourself, approved blocked dates can only be deleted by scheduling. Under Maternity you voluntarily report a pregnancy or birth: scheduling then respects the deadlines of the Labour Act (Art. 35a ArG), and only you and the people responsible for the roster see your details.

Auto-sync to the calendarOn approval, an entry is automatically created in the plan — you don’t have to do anything else.

Change shift time & swap shifts

Submit a request from the plan

When you tap one of your own shifts in the Plan tab, you request a time change or swap the shift with a colleague. You can also reach the swap in the “Wishes” tab via “Request shift swap”. The decision arrives as a notification; you see the status in the “Plan” tab under My Requests: ⏳ pending / ✅ approved / ❌ rejected (with reason).

Tap one of your own shifts
In the “Plan” tab: Today card, “My Week”, “Full month” or Team Plan. On a computer, click your shift in the plan.
Request time change
Enter the start and end, give a reason, “Request”. How far back this works (default: seven days) and whether future shifts can be changed is set by your organization; the form shows it. You withdraw a pending request in the same window or under “My Requests”.
Swap shift
Choose your shift, the swap partner and their shift, optionally a note, then “Request swap”. If the swap would break rules of the Labour Act, Rosie shows this beforehand. Your colleague accepts or declines; then scheduling approves, unless your organization releases swaps automatically.
Track the status
“My Requests” lists your open requests, with the history below. You can withdraw an open swap request there.
ℹ️
When is a swap possible?Only for shifts from today onwards in published months; only the administration corrects a past swap. If your organization has switched swapping off, requests can neither be accepted nor approved. If a month is already closed, a time-change request is saved but only decided after the month is reopened. Approvers are configured by role — usually scheduling or the PDL.

My requests

Where to see the status of your requests and reports

In the Plan tab, My Requests shows your open swap requests (incoming and outgoing), time changes and shift takeovers, with the history of the latest decisions below. If you may approve time changes, pending requests appear above under “To approve”. You find sickness and accident reports in the “Absences” tab under “My reports”, blocked dates under “My blocked dates”; holidays, wishes and unpaid leave in the “Wishes” tab.

Submit ideas

Improvement ideas or reporting a problem

On your phone under More → Idea & feedback, on a computer in the Ideas tab, you submit a suggestion — or report a problem (category “Report a problem/bug”). The idea goes to the server; admins and planners are notified right away and handle it with the statuses submitted / under review / implemented / rejected. Your name is shown so the admin can follow up.

Open the form
Phone: More → “Idea & feedback”. Computer: “Ideas” tab, card “Submit an idea”.
Enter title, category and description
Title and description are required. A filter checks the text for inappropriate expressions.
Submit the idea
The idea goes to the server; admins and planners are notified by push.
What happens next
Admins and planners see the list of submitted ideas with their status. There is no status view for employees in this app version — ask if you need to know.

No anonymityYour name is shown to the admin so follow-up questions are possible.

Messages & chat

1:1, groups, translation, send again

Messages tab → New → choose a recipient, write. Photos are shrunk automatically, files up to 5 MB are possible. With the microphone button you dictate text into the input field: for this, your browser or operating system sends the recording to its own speech recognition service — the first time, Rosie asks for your consent. The 🌐 button translates into 14 languages. Conversations with several people appear as a group. Anyone whom your company’s messaging policy allows may write.

Open the “Messages” tab
Same name on phone and computer; the number on the button shows unread messages.
Tap “New”
Choose a recipient (individual, group or team).
Write, attach, send
Text, photo or video, file (≤ 5 MB); with the microphone you dictate text instead of typing.

Click the 🌐 button next to a message — it translates client-side into your app language (14 languages available).

Not sent?If a message doesn’t get through, it is marked “Not sent” with Send again — your text is kept. If only the connection was missing, the app resends the message automatically as soon as you’re back online, as long as the app stays open. Rosie only reports “Message sent” once the server has accepted it.

Replying to a groupIf you reply in a conversation with several people, Rosie asks before sending whether the message should really go to everyone in this conversation.

Messaging policyThe company can restrict who may write to whom (1:1, teams only, hierarchy). If you don’t see someone in the recipient list, that’s why.

Take over open shifts

Open shifts, some with a cover bonus

Openly posted shifts — some with a cover bonus — are listed in the Plan tab under Open shifts, if your organization has enabled this view for you and your qualification matches. You volunteer with a tap; if approval is needed, scheduling decides and you are notified. Past shifts and postings without a date no longer appear there. When you take over a shift, Rosie checks whether you have holidays, an absence or a blocked period that day, and checks the rules of the Labour Act.

Find open shifts
In the “Plan” tab under “Open shifts”: shift, date and, where applicable, the bonus.
Take over
Tap the take-over button next to the shift you want.
Wait for a decision
Until the decision, the takeover appears under “My Requests” as awaiting approval; the result arrives as a notification.

💰 vs. 🤸 — the differenceCover bonus (💰): a bonus for a single openly posted shift that you volunteer for.
Stand-in assignment (🤸): an allowance on an already planned shift of a person from the stand-in list — scheduling assigns you when needed.

No open shifts visible?Then there are currently none that match your qualification, or your organization has hidden the view. If in doubt, ask scheduling.

Push notifications

Enabling, triggers, quiet hours, lock screen

To enable: open the bell → “Enable push” → confirm the browser permission — or in the “Set up your device” window that appears after the first sign-in on a device. iPhone: only possible in the installed PWA (Add to Home Screen). Triggers: a new plan, a new task, a processed request, a new message, an open shift. The admin can control push categories, and the company sets the quiet hours. In your profile under Notifications you choose which events also reach you as a push, and you can add your own quiet hours; the bell still shows everything. Some push notifications contain deep links: tapping “New message”, for example, opens the chat directly.

The bell 🔔 as a persistent inbox

The bell at the top right shows you all incoming notifications with a badge (≤9 or “9+”). Even if you missed a push, you’ll find it here.

Quiet hoursThe admin sets a company-wide time window (default 22:00–07:00) during which push is delivered silently. Your own quiet hours (My profile → Notifications → “My quiet hours”) can only extend this window, never shorten it.

Nothing personal on the lock screenA new message only shows the sender there, never the text. Notifications about your absences mention neither the type of absence nor a rejection reason — you see the details in the app.

Export your plan

Google Calendar, Outlook, Apple Calendar

“Plan” tab → “My Week” or “Full month” → “ICS” (on a computer: the “ICS” button next to the plan). The file only contains your own shifts from published months — other people’s shifts are never included. An exported file is a snapshot; when the plan changes, you need to export it again. A personal calendar subscription is also available, as described below.

Open the “Plan” tab
On your phone, choose “My Week” or “Full month”.
Tap “ICS”
“My Week” exports the week shown (Mon–Sun), “Full month” the month shown.
Save the file
The ICS file is downloaded; it works with Google Calendar, Outlook and Apple Calendar.
Import the ICS file
Open the downloaded ICS file in your calendar app.

Personal calendar subscriptionIn your own employee profile (on your phone also directly via More → ICS calendar subscription), you can create a link in the “Calendar subscription” section and subscribe to it in your calendar app, if this section is enabled for you. The subscription shows only your own published shifts. Your calendar app determines how often it retrieves changes. Keep the link confidential; creating a new link invalidates the previous one.

Install Rosie as an app

iPhone (iOS) and Android — step by step
Switch back to mobile view

Tap More → Appearance → View → Mobile. If the bottom navigation is missing after choosing “Desktop”, tap Use mobile view at the top of ROSIE.

Automatic selects the view for your device. Mobile and Desktop are saved as your choice on this device. The button only changes the layout in ROSIE.

iPhone (Safari): Share → “Add to Home Screen”. Android (Chrome): the “Add to Home screen” banner or ⋮ → “Install app”. Benefits: push (on iOS only after installation), faster start, full screen without the address bar. The service worker keeps the app itself locally so it starts instantly — but deliberately not the roster data: it contains health information, and R.O.S.I.E. often runs on shared ward PCs. You need a connection to work with it.

ℹ️
Automatic prompt: after the first sign-in on a device, Rosie shows the “Set up your device” window once, with “Add to home screen” and “Enable notifications”. In addition, on Android/desktop an install banner appears about 60 seconds after startup (unless you already dismissed it, the app is already installed or the window has just offered the installation). On iPhone/iPad you instead get a hint pointing to the instructions below, because Safari doesn't allow automatic installation.

My profile (topbar, top right)

Profile photo, master data, password, calendar subscription, privacy

You reach your profile via the user icon at the top right or, on your phone, under More → My profile — not via the team list. There: profile photo, master data, change password, calendar subscription, notifications and the privacy overview. You choose the language under More → Language. Sickness/accident reports, blocked dates and maternity are reported in the “Absences” tab. There is no “Plan history” card in this app version; administration creates your timesheet and hands it to you.

Profile photo
Upload it yourself with “Choose photo”, delete it with “Remove photo”. The app crops it to a square and shrinks it. Visible to everyone in the organization, also small in front of your name in the plans — without a photo, your initials appear there.

Name, role, workload, contact — view, or ask to have changed.

Change password
Yourself in your own profile, “Change password” section. Afterwards you are signed out on all devices.

Privacy & your rights

Where your data lives, who sees it, what you can request

Your data is visible only to configured approver roles (e.g. nursing management, planners). You exercise your rights (access, rectification, erasure, data portability) with the admin; contact: datenschutz@rosie-app.ch. Sensitive data in analytics is anonymized (PII scrubbing, k-anonymity ≥ 4). For voice commands, Rosie removes phone numbers, social security numbers, IBANs, email addresses and dates before the recognized text goes to the AI service — but not names, so please avoid saying any.

Where is my data?Transmission of your data is encrypted. Confidential fields such as diagnoses, medical certificates, maternity protection details, AHV number and IBAN, as well as the hourly backups, are stored encrypted. Customer data in the app is stored and processed exclusively on servers located in Switzerland (Infomaniak, data centres in Switzerland); details are set out in the data processing agreement. Any other providers involved, as well as the current status, are listed in full in the privacy policy.

Who sees my data?Your personnel data is visible only to the approver roles configured by the admin (e.g. administrator, planner, nursing management). Colleagues see your name, your role and your profile photo as well as your shifts in the Team Plan; if you are sick or have had an accident, they only see “absent”. They don’t receive your phone number, your email address or your actual, target and balance hours. Your organization decides whether they see your wishes.

Voice control

7 voice commands — only with your consent

You start the voice command on your phone under More → Voice command, on a computer via the microphone button at the top. It knows 7 commands (Sick · Shift wish · Holidays · Shift swap · Status · Navigation · Help). The admin decides whether it is available to you; Rosie checks this before the microphone starts. Before the first use you give your consent. The consent has been reworded — if you have used the voice command before, you confirm it once again.

How your voice is processed

Your browser or operating system converts the recording into text via its own speech recognition service — this service is operated by the browser or operating system provider, not by Rosie. The recognized text is then sent to an AI service to recognize the command; phone numbers, social security numbers, IBANs, email addresses and dates are removed automatically beforehand, but names are not. So please avoid saying the names of colleagues or people in your care.

Frequently asked questions

Answers to the most important questions
Forgot your password — what now?▶
Use the “Forgot password?” link on the sign-in page — you get an email with a link valid for 60 minutes. If it has expired, request a new one directly with “Request a new link”. While you are signed in, you can change your password yourself anytime under My profile → Change password.
I can’t see my plan — why?▶
The plan may not be published yet. As soon as the planner releases it, you get a push. If Rosie shows “Retry”, the month couldn’t be loaded — tap it. If you suspect an error: talk to your supervisor.
How do I swap a shift?▶
Tap one of your own shifts in the “Plan” tab → “Swap shift” — or in the “Wishes” tab → “Request shift swap”. Choose your shift, the swap partner and their shift. Only shifts from today onwards in published months can be swapped. Your colleague agrees, then scheduling approves (unless your organization releases swaps automatically); you’re notified.
My wish wasn’t taken into account — what can I do?▶
Wishes are not a guarantee. Talk to scheduling and check your priority — higher priority is weighted more strongly.
Wish allowance used up — what now?▶
Rosie shows you your wishes of the same priority in the counted period. If you delete one of them, your new wish is entered straight away; otherwise you cancel.
Reported sick by mistake — can I undo it?▶
Yes. In the “Absences” tab under “My reports” you can withdraw a pending report at any time, and an approved one if you reported it yourself. The absence is then removed from the plan; shifts that were replaced on approval don’t come back — scheduling re-plans the days and is notified. If scheduling recorded the report or the month is closed, contact scheduling.
The app doesn’t work / won’t load — what to do?▶
1) Reload the page (F5), 2) clear the browser cache, 3) try another browser, 4) check your internet. If nothing helps: contact your organization’s IT support.
Who sees my messages?▶
The sender, the recipient and the admin (transparency). Rosie is not a private messenger — use it for work-related communication.
Can I use Rosie on multiple devices?▶
Yes — log in on both devices, and the data is automatically synced via the server.
How do I use voice control?▶
On your phone under More → “Voice command”, on a computer via the microphone button at the top (see the chapter “Voice control”). Provided the admin has enabled the module; the first time, you confirm the consent.

Glossary

Technical terms explained simply
Admin
A person with full access. Manages employees, structures, shifts and configuration.
Absence
Any form of absence, e.g. sickness or accident (acute/long-term), training or unpaid leave. You report sickness/accident yourself in the “Absences” tab.
Task
An activity per shift. Four statuses: open ○ · in progress ◐ · done ✓ · returned ↩.
Area
An organizational unit (e.g. House A, Ward 2) with a color — affects wish allowance and display.
Cover bonus
A bonus for a single openly posted shift that employees volunteer for.
Plan
The shift plan that shows who works when.
Planner
A role with rights to create plans and grant approvals.
External wish
A wish the planner enters for you (priority 0). Configurable whether it counts against your allowance — maintained only by the admin.
ICS
A calendar file format for Google Calendar, Outlook, Apple Calendar.
Inbox / bell
A persistent list of your notifications at the top right of the topbar (🔔 with a badge).
AI slider
A 4-level control for AI pattern recognition on tasks (Off / Suggest / Draft / Locked) — controlled by the admin.
Legal Engine
A background system that checks working-time rules (ArG, GAV, canton).
Month closing
After publication and month-end, an admin with the Compliance tier can seal the month and reopen it with a reason. Payroll and time exports are also possible without a seal.
Mutation / swap request
A request for a time change or shift swap — from one of your own shifts in the “Plan” tab.
paid_break
Per shift type: paid break (yes/no). Configured by the admin.
PDL
Nursing management — a typical role with extended rights.
PWA
Progressive Web App — after installation, Rosie behaves like a real app.
Push notification
A message straight to your device — even when the app isn’t open.
QMS
Quality management documents (PDF/DOCX) that can be linked to tasks.
Quiet Hours
Quiet times: push is delivered silently (default 22:00–07:00, configurable company-wide).
Shift wish
A wish for a shift on a particular day — shown dashed in the calendar.
Blocked dates
Days on which you don’t want to be scheduled — requested in the “Absences” tab.
Stand-in pool
A list of people with pay supplements for flexible assignments — separate from cover bonuses.
Wish allowance
The maximum number of wishes per area and priority — configured by the admin.
